Reviewer's Role


This article describes the responsibilities and expectations of the Reviewer role in UC OATS. The Reviewer role is typically assigned to administrative staff within a department, division, or academic unit who support faculty reporting and approval workflows related to outside professional activities.


Primary Responsibilities

Reviewers are responsible for reviewing:

  • Prior Approval forms, and
  • Annual Certification reports

to ensure submissions are accurate, complete, and sufficiently detailed to support informed decision-making by department chairs, deans, or other approvers.

Reviewing Prior Approval Forms

When reviewing a Prior Approval form, confirm that:

  • The correct activity category is selected.
  • The required details (activity description, etc.) are provided.
  • The submission contains enough information for an approver to evaluate compliance with applicable APM policy requirements.

If information is missing or unclear, contact the faculty member or return the form for revision before advancing it in the workflow.

Reviewing Annual Certification Reports

When reviewing Annual Certification reports, verify that reported activities are complete and consistent with departmental knowledge. Follow up with the faculty member if discrepancies or omissions are identified.
