Governance Board

The UC OATS Governance Board is the governance body for the multi-campus Conflict of Commitment application. The governance board provides a UC-oriented support structure. As such, the governance board has the authority and responsibility to make final decisions related to the scope, budget, and timeline for the OATS project. 

Key Roles and Responsibilities:

  • Identifying, approving, and prioritizing project objectives and deliverables
  • Ensuring scope, timelines, and changes in the project are aligned with stakeholder expectations
  • Ensuring project risks are identified and mitigated
  • Supporting an effective software deployment strategy, including communications, training, and end-user acceptance
  • Communicating with campus stakeholders about issues, decisions, and progress

UC OATS Working Group

 

The working group includes APM subject matter experts (SMEs) from a broad range of functional areas, appointed by each of the ten UC campuses. The Working Group’s primary responsibility is to provide timely, specific, technical input to the technical partner, DGIT.

Key Roles and Responsibilities:

  • Provide technical and functional requirements
  • Provide campus-specific guidance and expertise
  • Ensure challenges and issues that may compromise the project plan are escalated to the governance board
  • Provide campus-specific resources

Technical Partner

 

The technical partner, UCLA Health IT, Digital Technology (DGIT) is responsible for the development, implementation, and maintenance of the UC OATS application for all ten campuses. The technical partner works closely with the working group and governance board to identify and deliver system enhancements and upgrades.

 

Key Roles and Responsibilities:

  • Oversee all aspects of the project including:
    • Creating project schedule and implementation plan
    • Ensuring scope, timeline, and changes are reviewed and approved by the Governance Board
    • Ensuring project risks are identified and mitigated
    • Communicating with project stakeholders about issues, risks, implementation plan, and project progress
  • Building and deploying application enhancements
  • Managing operation of the application
  • Developing application training material
